The honest answer: it depends on a lot of variables — and any caterer who gives you a closed price without asking questions is probably not being straight with you.

The three most common wedding formats

Intimate soirée (up to 40 guests): from $6,500 USD total. Ideal for short ceremonies, family dinners at home, or small receptions in boutique hotels. Includes multi-course plated menu, service staff, and basic setup. Does not include bar or signature cocktails.

Coastal gala (80-160 guests): from $12,000 USD total. This is the most common format for destination weddings. Includes welcome cocktail, plated dinner or curated buffet, dessert table, and closing. Full culinary direction and service staff trained for high-volume events.

Grand celebration (180+ guests): variable investment, typically between $18,000 and $35,000 USD. This is where the variables kick in: number of courses, service style, live stations, special production, signature bar, late-night bites. Most premium weddings of this size invest between $65 and $120 USD per guest.

The variables that most affect the budget

Service format: a plated multi-course dinner requires more staff than a buffet, and more than stations. But live stations (grill, made-to-order ceviche, fresh pasta) have their own cost from dedicated chefs.

Number of courses: the difference between a 3-course menu and a 5-course one isn't just food — it's service time, staff, and coordination with the event planner.

Bar and cocktails: an open bar with signature cocktails can add $12-22 USD per guest. If you opt for wine and beer only, the cost drops significantly.

Venue complexity: a wedding at an urban venue with a professional kitchen is logistically very different from a wedding on the beach or at an estate with no infrastructure, where you have to bring the kitchen, refrigeration, and sometimes even generators.

What's usually not in the "starting at" price

Multi-day: the format that changes the math

How to read a commercial proposal without surprises

A serious proposal should detail: cost per person, what that cost includes, items outside of it (transport, setup, premium glassware, bar), staff assigned, service timing, and change policy. If the proposal only says "plated menu $X per person," ask for the breakdown before signing.
