What to look for when choosing a caterer for your Caribbean destination wedding

Beyond flavor: the key questions about operations, experience, staffing, and commercial transparency to ask before you sign any contract.

Choosing the caterer for a destination wedding in Cartagena or Barranquilla is one of the most important decisions you will make while planning, and also one of the hardest to judge from a distance.

Flavor matters, of course. But when you are organizing from another city (or even another country), you need to assess much more: logistical capacity, experience with the type of venue you chose, the size and quality of the service team, flexibility with last-minute changes and, above all, a clear commercial proposal.

The first question you should ask is not “What is on the menu?” but “How many weddings of more than 80 guests have you produced in the last two years?” Experience producing large events is what separates a good restaurant from a good caterer. They are different crafts.

Before you sign any contract, make sure to ask:

  • Is the service staff in-house or subcontracted?
  • Will a service captain be assigned for the day of the event?
  • How does the team coordinate with the wedding planner?
  • What happens if the venue or the guest count changes at the last minute?

About the commercial proposal: be wary of quotes that only say “menu per person + service.” A serious caterer itemizes setup costs, transport logistics, equipment, staff, tableware, glassware, service timing, and the change policy. Transparency in the proposal says a lot about what working with that team will be like for months.

Ask about the tasting: When does it take place? Is it included in the price? Can you adjust dishes after trying them? The best tastings are not an “exam” for the caterer but a working session where flavors, presentation, and timing are fine-tuned.

Finally, look for recent references. Talk to couples who hired that caterer in the past few months. Ask them not only whether the food was good, but whether the team kept to the schedule, handled the unexpected calmly, and communicated clearly and on time during the months leading up to the wedding.

Choosing a caterer for a destination wedding means choosing a production partner. Take the time to look beyond the menu.
