A regional healthcare company hired us to cover two full days of convention for their executive and operational team. 240 attendees, four gastronomic moments per day, and the requirement to maintain premium standards in an intense working environment where break times are strict.
The challenge
Two-day conventions present a specific challenge: maintaining quality across 48 hours of continuous operation. The specific hurdles for this event were:
- Four gastronomic moments per day: morning coffee break, lunch, afternoon coffee break, and a closing cocktail on the second day
- A mix of attendees with very different profiles: executives with specific diets and operational staff with high energy demands
- Service space shared with the exhibition area, with no possibility of setting up fixed stations between sessions
The solution
We designed a proposal that clearly differentiated each moment of the day in tone and format:
- Functional coffee breaks: instead of the classic sweets table, we set up thematic stations with genuinely healthy options: tropical fruits, proteins, cold-pressed juices and single-origin coffee with a live barista. Each break lasted exactly 20 minutes, designed so that the flow of 240 people worked without bottlenecks.
- Executive-format lunches: starter, main course with two options (animal protein and vegetarian), and dessert. Table service to guarantee controlled timing and avoid buffet lines that drag out breaks.
- Closing cocktail with identity: on the second day we closed with signature stations, non-alcoholic cocktails for drivers and executives, and custom pastry pieces in the company's corporate colors.
All setup and breakdown logistics were coordinated in 30-minute windows between sessions, without disrupting the convention flow or occupying workspace.
The outcome
Both days ran within the planned schedule. Company management specifically highlighted the punctuality of service and the differentiation between each moment's format.
